Beginning Thursday, July 31, the University will distribute Notice of Appointment letters for the 2025-26 Fiscal Year to eligible non-classified staff, faculty and faculty-equivalent/academic professionals.
Similar to previous years’ processes, the letters will be distributed electronically via the Blue system, which is the same platform used in the WVU performance review process for staff.
Eligible employees will receive an email to their WVU account from NoticeofAppointment@notify.wvu.edu with instructions on how to access their appointment letters for the 2025-2026 fiscal year.
The letters will include the following elements:
Employee name
College/school/unit name
Primary position title
Appointment start/end dates
There have been two changes to the Notice of Appointment this year.
First, some areas of work have recently been affected by federal funding changes outside of the control of the University. If your position is supported by external funding and that funding is reduced, discontinued or ends for any reason, the University may need to adjust or conclude your appointment prior to the originally specified end date. This does not apply to tenured or tenure-track faculty.
Second, the University is adding language that will simplify the rollout of retention incentive plans and permit employees to accept small in-kind incentives throughout the term of their appointment period. Current practice requires incentive plans to become effective at the beginning of each fiscal year, which limits flexibility for departments that wish to roll out these plans throughout the year. The new language will allow retention incentive plans to become effective at any point during an appointment period. Incentive plans will still need approval through the University’s standard process, which includes review and sign off by Talent and Culture.
Previously, employees on a yearly appointment could not accept in-kind incentives such as athletic tickets and gift cards if those incentives were not provided for in an agreement or notice of appointment prior to the beginning of an appointment term. Now, in-kind incentives may be offered to employees as a retention incentive during the term of their appointment so long as they are distributed in an equitable and non-discriminatory manner.
Faculty and staff will be asked to review their base salary information in the Applaud HR system. View these instructions on accessing your salary information in Applaud.
Importantly, faculty and staff are required to electronically sign their appointment letters within 10 business days of receipt.
Employees may choose to print a copy of their appointment letters for their records.
As with prior years, faculty and residents employed by the School of Medicine will be excluded from the University’s notice of appointment process and will receive their appointment letters through the standard method.
