Supervisors asked to validate work status of direct reports

To ensure West Virginia University maintains accurate employee records for tax and payroll purposes, the WVU Shared Services Center is asking supervisors to confirm or update the work status information for the primary assignment of their direct reports as of Feb. 3, 2025, excluding student worker or graduate assistant-type positions.

Some supervisors will receive an email today (Nov. 4) from WVU Shared Services Center via triggers@qualtrics-research.com with a personalized link to complete a form to indicate the current work status of the primary assignment for each of their direct reports. 

Supervisors must complete this process by 5 p.m. Monday, Nov. 25.

Supervisors should ensure their form includes all their direct reports. Note this process excludes student worker or graduate assistant-type positions, so they will not be included. If an employee is missing from their list, contact WVU Shared Services at SharedServices@mail.wvu.edu or 304-293-6006.

If an employee is included who is no longer their direct report, they should select one of the N/A options on the form.

The information captured in the form will be used to update the Applaud HR system.

Following this process, supervisors should continue to update any modifications to an employee’s work status in Applaud as changes occur after Feb. 3, 2025, by following these instructions

Supervisors also should continue to ensure work location information is accurate in Applaud for new hires as part of the onboarding process. Employees cannot update their own work statuses in Applaud.

The WVU Shared Services Center plans to continue performing an employee work status review with supervisors on an annual basis.
