WVU Office of Sponsored Programs rolls out new smart forms for researchers

In an effort to make the administration of externally-funded projects more seamless, the WVU Office of Sponsored Programs has launched three new smart forms for researchers to utilize.Those three forms are for prioritization, status check and prior approval.

Here is a breakdown of those forms, along with links to each:

WVU Office of Sponsored Programs Prioritization Request - Award Initiation and Management

This smart form should be used to request that a proposal, agreement or award be processed with high priority. If your project has a period of performance that is six months or less and/or your project is related to COVID-19 funding, the completion of this form is not required. Your project will automatically be delegated to the high priority queue based on the presence of one or more of these conditions. Please also note that awards are already prioritized based on the date of receipt.

WVU Office of Sponsored Programs Status Inquiry.

This smart form has been developed for the purpose of status inquiries for any pending proposal, agreement or award. Please complete and submit this form in order to request a status update for pending OSP action items.

WVU OSP Award Initiation and Management Prior Approval Request.  

This smart form has been developed for the purpose of routing new Award Initiation and Management (AIM) Prior Approval Requests to OSP for review and submission to the sponsor. This form should be used for new requests, such as asking permission from the sponsor for a No-Cost Extension, Carryover, Rebudgeting, etc. Once received, the request will be added to the new AIM Prior Approval queue for assignment to a team member. 

OSP will monitor incoming submissions daily, ensuring that researchers receive timely updates as needed, Katie Stores, assistant vice president for strategy and research at the WVU Research Office, said.

Researchers are urged to solely use the forms instead of emails, which could delay response times and lead to duplication and inefficiency. 

OSP reviews, negotiates, accepts and initiates awards on behalf of WVU, and helps ensure compliance with internal and external requirements.
