New visual tracker in IT Purchase Request process shows status of all required approvals

The IT Purchase Request system now features instant, visual status updates of all required reviews, giving customers increased transparency into the progress of their requests.

Each ticket displays the number of reviews needed and indicates whether the designated approvers have approved, declined or are still reviewing the request.

The visual tracker saves time for customers who no longer need to inquire about the status of their pending request.

Routine, low-risk purchases may be approved automatically, while other purchases may require reviews by Information Security, Procurement, the Office of Student Accommodations and other WVU teams. Review length varies, depending on purchase details, vendor response times, resource capacity and other factors.

ITS receives an average of 255 purchase requests per month.

Approval is required before most hardware, software and consulting service purchases can proceed. This helps ensure the University is being efficient with resources, providing digitally accessible services, and avoiding products that present unacceptable security risks to WVU systems and data.

The visual tracker is the latest in ongoing efforts to improve the purchasing process.

Last fall, ITS updated the form to automate approval of certain low-risk purchases, speeding up fulfillment of routine requests that don’t require additional reviews.

Since October:
     • The average time to complete a request dropped from eight days to three days.
     • 85% of requests are closed within one week of submission.
     • An average of 99 requests get automatically approved per month.
