Starting today (Oct. 7), WVU employees booking round-trip vehicle rentals for business travel will need to use a new code to apply the University’s discounted rates.
Any vehicle rented through Enterprise Rent-A-Car or National Car Rental that will be picked up and dropped off at the same location will need to be booked using the new code.
To ensure security, the new code can only be found on the MyTravel website homepage, accessed from Portal.
If you are booking one-way vehicle travel between the Morgantown and Pittsburgh airports, you will use a different code, which can also be found on the MyTravel website homepage.
WVU Procurement, Contracting and Payment Services strongly recommends that WVU employees book their vehicle rentals through Enterprise using these codes.
Additionally, PCPS offers these key reminders for University travelers:
Payment is required when picking up a rental vehicle. Use a PCard if you have one or provide a personal credit card and submit the purchase for reimbursement. The use of personal debit cards is discouraged, as rental agencies will withdraw funds immediately.
WVU employee ID cards are required as proof to pick up a vehicle rental.
Rental vehicles should be inspected for damages before being driven off the lot. Report any issues to the rental provider to ensure they are documented.
Travel expenses must follow the current spending guidelines outlined in the University Travel Manual.
Employees are encouraged to enroll in the Emerald Club to receive access to vehicles from the Emerald Aisle, automatic discounts, guaranteed vehicle upgrades, free rental days and more. For full details, refer to the University Travel Manual.
