Bureaucracy Busters: MyExpenses will reduce paperwork, time and labor in processing reimbursements

Expense reconciliation and reimbursements will be faster and simpler, and involve fewer people when MyExpenses launches this summer. The new tool also will make it easy to split expenses among multiple funding strings.

The current approval process requires paper forms to pass through multiple hands before they reach Procurement Contracting and Payment Services. There, PCPS staff must hand-enter invoices into Mountaineer Administrative Processes.

Only then is the request for a check generated.

In FY16, WVU processed more than 20,000 reimbursements for a total of $11 million.

The first groups to pilot MyExpenses in August will be the Statler College of Engineering and Mineral Resources, Eberly College of Arts and Sciences, and central units that fall under the Administrative Units Shared Service Center. The tool should be available to all WVU employees sometime this fall.
